Who is the data controller
The data controller for personal information collected through this website is Kindness in Business Consulting, based at 152 Grosvenor Road, Pimlico, London — England, SW1V 3JL. What we collect and why
Information you give us through the contact form
When you complete the “Get in touch” form, we receive the name, email address and message you submit, together with the timestamp of submission. If you arrived on the site through a campaign link, we also receive the associated UTM parameters (campaign source, medium, name, content and term) so we can understand which conversations brought you to us. We use this information solely to reply to your enquiry and, where appropriate, to follow up on it. The lawful bases we rely on are your consent (you tick the consent box before submitting) and our legitimate interest in answering people who write to us.
Partner programme application
When you apply to the Kindness Partner Programme, we receive your name, email, phone, location, professional profile, audience description and any optional message you provide. We use this solely to review your application, respond to you and, if appropriate, discuss a suitable partner path. Lawful bases: consent (operational contact checkbox) and, where applicable, legitimate interest in managing partner enquiries. Optional marketing consent is separate and never pre-ticked.
Guided experiences and the Kindness Partner Assistant
The Kindness Conversation™ and Kindness Partner Assistant are structured, scripted experiences on this website — not live human chat and not generative automation at present. They may record path selections and short questions you type to help you reach the right next step. Do not share sensitive personal documents, financial credentials or identity documents in these interfaces. If you leave an email address in The Kindness Conversation, we use it only to follow up on your reflection request, subject to the consent you give at that point.
Information collected automatically
Our hosting provider keeps standard web-server access logs (IP address, user agent, requested URL, response code, timestamp) for a limited period in order to operate the site securely and diagnose incidents. These logs are not used for profiling or advertising, and we do not link them back to individuals.
Cookie and consent storage
We store your cookie preferences locally in your browser (kib_consent_v2) — including separate analytics and marketing choices — so we do not ask on every visit. Essential storage is required to remember this preference. Analytics and marketing measurement tools load only if you enable those categories. Details are in our Cookie Policy.
Analytics
If you consent to analytics, we may prepare privacy-conscious measurement events (for example form submissions or path selections) through a data layer ready for tools such as Google Tag Manager. We do not send advertising profiles and we avoid placing email addresses or message content into analytics payloads. Without analytics consent, those events are not recorded.
Automated assistants and future machine-assisted responses
Our assistants use predefined decision paths and local classification — not autonomous machine decisions about you. If we introduce machine-assisted responses in future, they will operate under strict governance: no financial advice, no partner approval, no collection of unnecessary sensitive data, and human review for regulated topics. We will update this policy before any material change.
Communications by WhatsApp, phone or email
If you choose to reach us via WhatsApp, phone or email, the content of that communication and the contact handle you use will be processed by us to respond. The platforms themselves (Meta Platforms Ireland Ltd for WhatsApp, your telephone operator, your email provider) act as their own controllers for the metadata they capture; please consult their privacy notices for that detail.
Sharing with partners and processors
We do not sell your personal information. We share data only with:
- Service providers who help us operate the website and email inbox (hosting, SMTP/email delivery) under contract and only on our instructions.
- Approved partner paths — only after you choose to pursue a specific programme and we agree the next step with you; any regulated product or service remains subject to that partner’s authorisation, eligibility and jurisdiction.
International transfers
Our primary operations are in the United Kingdom. Email and hosting providers may process data on infrastructure outside the UK/EEA. Where that occurs, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy regulations. You may request more detail by emailing kindness@kindnessinbusiness.co.uk.
Who has access to your information
Personal information shared through the contact form is sent to the team inbox at kindness@kindnessinbusiness.co.uk. The transport relies on our email provider, who acts as a processor on our behalf. We do not sell, rent or share your information with third parties for marketing purposes, and we do not transfer it outside the UK / European Economic Area except to the extent that our email provider operates from infrastructure with adequate safeguards in place (Standard Contractual Clauses or an adequacy decision).
Third-party services loaded by this site
The site loads typography from Google Fonts (Google Ireland Ltd). When fonts are fetched, Google receives your IP address and basic request metadata. Google’s use of that information is governed by its own privacy policy. No cookies are set on our domain as part of this request.
How long we keep your information
- Contact form enquiries — up to 24 months from the most recent interaction, so we can follow up on conversations that take time to mature. You can ask us to delete yours earlier at any time.
- Cookie consent choice — stored locally in your browser until you clear it or change it.
- Web-server logs — rotated and purged within 30 days by our hosting provider.
Your rights
Under the UK GDPR you have the right to ask us, free of charge, to:
- access the personal information we hold about you;
- have inaccurate information corrected;
- have your information erased (the “right to be forgotten”);
- restrict or object to certain processing;
- receive your data in a portable, machine-readable form;
- withdraw any consent you have given, at any time, without affecting the lawfulness of processing carried out before that withdrawal.
To exercise any of these rights, please email kindness@kindnessinbusiness.co.uk. We respond within one month. If you are not satisfied with our response, you also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).
How we protect your information
Information in transit between your browser and our server is encrypted with TLS. Access to the mailbox that receives enquiries is limited to members of the Consulting team and protected by strong authentication. We review our security practices periodically and apply security updates to the platform within their published service windows.
Children
This site is intended for business professionals and is not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. The version you are reading is dated at the top of the page. Material changes will be highlighted on the homepage for a reasonable period before they take effect.
